Main Conference

Airport transfers are not included in the participation fee and will need to be arranged separately by participants.

Yes, the organizing team will provide a list of recommended, safe, and reliable airport transfer services, including contact information and estimated costs.

The most convenient and reliable mode of transport within Jeddah for leisure is by taxi. Participants and accompanying adults may use ride-hailing apps such as Uber, Careem, or Ego. These services are widely available, safe, and can be booked easily via smartphone.

Youth Summit

Airport transfers for youth and chaperones will be included in the participation fee for the Youth Summit and arranged by the conference organizers.

Daily group transportation will be arranged for all participants between accommodations, the summit venue, and activity sites. All transport will be supervised and managed by the summit team.

Medical Concerns

Yes, there is a dedicated on-site clinic available at both the North Obhur and Corniche campuses. Each clinic is staffed with qualified nurses and clinicians during summit hours to attend to any minor medical concerns.

In the event of a medical emergency, immediate first aid will be administered by the on-site medical staff. If further treatment is needed, the participant will be transported to the nearest hospital or clinic.

Insurance

While travel insurance is not mandatory, it is highly recommended for all participants. The insurance should ideally cover medical expenses, trip cancellations or delays, lost luggage, and other unforeseen circumstances during travel. Participants are encouraged to choose a plan that best suits their individual needs and travel plans.

No, the participation fee does not include travel insurance. Participants are responsible for arranging their own insurance.

Cultural Expectations and Dress Code

The summit will enforce a strict non-discrimination policy, ensuring that all participants are treated with respect and equality, regardless of nationality, culture, gender, or religion. A mandatory code of conduct orientation session will be held prior to the summit to ensure that all attendees—including youth participants, trainers, and practitioners—uphold a shared ethical framework. This session will also address cultural norms and sensitivities to foster mutual respect throughout the event. All summit activities will be thoughtfully designed to promote inclusivity, cross-cultural dialogue, and mutual understanding among participants from diverse backgrounds. Trainers and practitioners will also be briefed on best practices for maintaining a culturally responsive and inclusive environment, ensuring that all youth feel safe, heard, and valued. More broadly, Saudi Arabia upholds principles of equality and non-discrimination. The Makkah Declaration of 2019 reaffirms that religious and cultural differences should never justify conflict and that everyone has the right to live in peace and dignity. In alignment with these principles, the Youth Summit will serve as a platform for respectful exchange, collaborative learning, and the celebration of diversity.

Participants are expected to show respect for local customs, traditions, and practices. This includes being mindful of cultural differences and demonstrating good manners, especially when interacting with local communities. A spirit of cooperation and mutual understanding is encouraged at all times.

The dress code for the summit is modest and respectful of local cultural norms, while still being practical and comfortable for participants. All attendees are encouraged to dress neatly and appropriately during summit events, activities, and leisure time. Modest attire includes: • Knee-length shorts or comfortable pants for both boys and girls • Shirts or blouses that cover the shoulders • Avoiding clothing that is too tight, see-through, or overly revealing. There's no need to dress formally unless otherwise specified for special events. Comfortable shoes are recommended for daily activities and fieldwork, as many events may include walking or outdoor participation. The goal is to ensure everyone feels comfortable, respected, and able to participate fully while honoring the spirit of the host culture.

As mentioned in the Saudi Arabia Public Decorum Charter, all visitors to public places shall dress modestly and must not dress in outfits with photos, figures, signs or phrases violating common decency.

Food and Dietary Requirements

All meals during the summit will be prepared and served by certified catering services that strictly follow food safety and hygiene regulations. Bottled water will be provided throughout the event to ensure the health and well-being of all participants.

Prior to the summit, a survey will be sent to all participants to collect information regarding dietary restrictions, allergies, and preferences. Vegetarian and non-vegetarian options will be available at all meals. We will also accommodate specific needs such as gluten-free, dairy-free, or other dietary requirements as indicated in the pre-event survey.

Yes, all food provided during the summit will be Halal and prepared in accordance with Islamic dietary laws.

Yes, participants are welcome to bring non-perishable snacks from home, especially if they have specific dietary needs. However, please ensure all items are labeled clearly and comply with customs regulations when traveling.

Safety Precautions

The safety of all participants is our top priority. There will be trained staff, facilitators, and volunteers present throughout the event to ensure a secure and supportive environment. All venues will be regularly monitored, and emergency plans are in place in accordance with local safety regulations.

Students will be accompanied by their supervising teachers and monitored by trained instructors, facilitators, and mentors during all summit activities. Attendance and movement will be tracked through daily check-ins, and curfews will be enforced at student accommodations.

Yes, safety briefings will be conducted before any fieldwork or outdoor activity. Participants will be informed of any potential risks and given clear instructions on how to stay safe.

Each venue and field location will have an emergency response plan in place, including evacuation procedures and first-aid access. Emergency contact numbers will be shared with all participants and supervising adults. On-site medical support will be available at both North Obhur and Corniche campuses.

During the main conference and Youth Summit, we will follow the latest guidance from the Saudi Ministry of Health and the World Health Organization. Participants are encouraged to: • Practice good hygiene (handwashing, sanitizing, etc.) • Stay home or inform summit staff if feeling unwell • Wear masks in crowded indoor areas if preferred or advised • Carry personal hand sanitizers and masks for convenience. General Questions for Youth Summit

We understand that being in a new environment can be both exciting and challenging. The summit team is committed to supporting all participants emotionally and socially throughout their experience. Support includes: • Trained mentors and volunteers available to check in with participants regularly and to provide emotional support and guidance • Cultural orientation sessions at the beginning of the summit to ease transitions • Team-building activities designed to help students feel welcome and integrated into their new setting. We are committed to creating a nurturing and inclusive environment for all participants.

Students will be supervised by trained facilitators, volunteers, and teachers throughout all activities, including overnight stays.

A code of conduct will be shared in advance. Any violations will be addressed immediately by on-site staff and academics.

A dedicated group communication app will be used to share real-time updates, schedules, and important announcements with all participants. Each student and accompanying chaperones will receive a contact card that includes emergency numbers, key summit contacts, and local support lines. In addition, designated host country team members will be assigned to each group as points of contact. These team members will: • Assist with logistics and daily coordination • Provide translation or cultural guidance when needed • Be available for any urgent questions or concerns. This support system is designed to ensure that communication remains clear, timely, and accessible throughout the summit.

Yes, all students are required to submit signed consent forms before participating in the summit. These include: • A liability waiver, which covers general participation in summit activities, including field trips, workshops, and any physical activities. This ensures that parents or guardians acknowledge potential risks and give permission for their child to participate. • A media and social media release form, granting permission for photographs and videos of the students to be taken during the summit and used in official communications, promotional materials, or social media platforms managed by the summit organizers. All forms will be shared in advance with clear instructions and must be completed and submitted by a specified deadline.
